Opis oferty We are seeking a highly organized and proactive Program Administration, Coordination & Scheduling Specialist to support our D365 Finance Program Management Team responsible for governance of D365 Finance Program rollout in 30+ countries worldwide. In this critical role, you will be the operational backbone of the program, ensuring seamless administration, effective coordination across countries and workstreams, and precision scheduling of key meetings and governance forums including Steering Committee (Global Board, Management Board) sessions. This position is ideal for a detail-oriented individual with experience in large-scale program support, cross-functional coordination, and governance facilitation within a dynamic and fast-paced environment.
KEY RESPONSIBILITIES

Program Administration & Support:

  • Maintain and manage program documentation, deliverables tracker, decision and action logs
  • Assist with document preparation for key program forums (e.g., reports, decks, briefings)
  • Own and update administrative tools and SharePoint content
  • Support onboarding of new team members and maintain program distribution lists

Scheduling & Coordination:

  • Own and manage calendars for the program leadership team
  • Coordinate and schedule all program meetings, workshops, and ceremonies across global time zones
  • Prepare and distribute agendas, minutes, and follow-up actions from meetings

Steering Committee Support:

  • Act as administrative lead for Steering Committee governance – schedule sessions, collate materials, track actions and decisions
  • Coordinate content deadlines and drive alignment across contributors ahead of governance milestones
  • Manage communications and follow-ups between Steering Committee, countries, D365 Competency Center and Program Team

Cross-Team Coordination:

  • Serve as a central point of contact for coordination between countries, workstreams, external vendors, and internal stakeholders
  • Facilitate consistent information flow and alignment across teams
  • Track interdependencies and assist Program Team with proactive risk mitigation
WHAT WE'RE LOOKING FOR
  • 3+ years of experience in a program/project support, PMO coordination, or executive administration role
  • Strong background in supporting enterprise programs, ideally ERP or D365-related
  • Proficiency in Microsoft Office 365 suite (Excel, PowerPoint, Outlook, Teams, SharePoint)
  • Excellent organizational and time management skills, with ability to handle multiple priorities
  • Exceptional communication skills – written and verbal
  • Experience working in a global and virtual team environment
  • Working knowledge of English or/and German language

Nice to Have

  • Familiarity with program methodologies (e.g., Agile, Waterfall, hybrid models).
  • Experience using project management tools like Azure DevOps, MS Project, or similar.
  • Previous exposure to governance support for senior-level stakeholders.
